Safeguarding Policy
1. Purpose
The purpose of this policy is to ensure that all children and young people involved in Ignited Voices are safe, respected, and protected from harm. It sets out responsibilities, procedures, and standards of behaviour for staff, volunteers, and others working with the choir.
2. Commitment
Ignited Voices is committed to:
Promoting the welfare of all children and young people.
Creating a safe, inclusive, and positive environment.
Taking all safeguarding concerns seriously and responding promptly.
Working in partnership with parents, carers, and relevant agencies.
3. Scope
This policy applies to all children and young people under 18 participating in choir activities, and to all staff, volunteers, trustees, and contractors associated with Ignited Voices
4. Roles and Responsibilities
Designated Safeguarding Lead (DSL): Alicia Benbow – first point of contact for any safeguarding concerns.
All staff/volunteers: Must follow this policy, complete safeguarding training, and report concerns.
5. Code of Conduct
All adults working with the choir must:
Treat children with respect, fairness, and dignity.
Maintain appropriate professional boundaries.
Avoid being alone with a child wherever possible (ensure “two-adult rule” in rehearsals, changing areas, and travel).
Never use physical punishment, inappropriate language, or humiliating behaviour.
Use electronic communication with children only through approved choir channels, never personal accounts.
6. Recruitment and Training
All staff and volunteers working directly with children will undergo safer recruitment checks, including references and criminal record checks (e.g., DBS in the UK).
All will receive safeguarding induction and training appropriate to their role.
7. Supervision and Ratios
Adequate adult-to-child ratios will be maintained at rehearsals, performances, and trips, following best practice guidelines.
Parents/carers must provide up-to-date emergency contact and medical information.
8. Online Safety
Photographs and recordings will only be taken with parental consent.
No child will be identified publicly by full name alongside an image.
Online rehearsals will follow safeguarding guidelines (e.g., parent present, secure platforms).
9. Responding to Concerns
If a child is at immediate risk of harm, call emergency services.
Otherwise:
Listen carefully and reassure the child.
Record details factually and promptly.
Report immediately to the DSL.
DSL will decide next steps, including referral to statutory services if necessary.
10. Allegations Against Staff or Volunteers
Any allegation will be taken seriously and reported to the DSL (or to the Chair of Trustees if it involves the DSL).
The DSL will contact the Local Authority Designated Officer (LADO) or equivalent statutory body for advice.
Staff may be suspended pending investigation to ensure child safety.
11. Confidentiality and Record-Keeping
Information will only be shared on a need-to-know basis.
Safeguarding records will be kept securely, separate from general records, in compliance with data protection law.
12. Monitoring and Review
This policy will be reviewed annually, or sooner if required by changes in legislation or guidance.
